Booking Terms

1. Session Booking Process

To book a session, complete the inquiry form on our website or contact us directly at hello@vanskystudio.com.

A booking is confirmed only when: (a) you have received a written booking confirmation from VanSkyStudio, and (b) the 30% non-refundable deposit has been received.

Date holds (without deposit) are available for a maximum of 5 business days, after which the date is released.

2. Deposit and Balance

A 30% deposit of the total agreed fee is required to secure your booking. The deposit is non-refundable unless VanSkyStudio cancels.

The remaining balance is due 7 days before the session or event. Balances not received by this deadline may result in cancellation with forfeiture of the deposit.

For weddings and events booked more than 12 months in advance, the balance due date may be extended by mutual written agreement.

3. Rescheduling

Rescheduling requests must be submitted at least 48 hours before the scheduled session via email to hello@vanskystudio.com.

Each Client is entitled to one complimentary reschedule per booking. Subsequent reschedules are subject to a €50 administration fee per occurrence.

Rescheduling is subject to availability. VanSkyStudio will make reasonable efforts to accommodate the new date but cannot guarantee availability.

For weddings and multi-day events, rescheduling requests made within 30 days of the event date are treated as cancellations.

4. Cancellation Policy

All cancellations must be submitted in writing to hello@vanskystudio.com.

More than 30 days before the session: deposit forfeited; no further charges apply.

15–30 days before the session: deposit forfeited; 25% of the remaining balance is due.

7–14 days before the session: deposit forfeited; 50% of the remaining balance is due.

Fewer than 7 days before the session: deposit forfeited; 100% of the remaining balance is due.

If VanSkyStudio cancels due to illness, emergency, or force majeure: full refund of all payments received, or a mutually agreed alternative date at no extra charge.

5. Weather and Outdoor Sessions

Outdoor sessions in Taormina and Sicily are subject to weather conditions. We monitor forecasts closely and communicate with clients 48 hours in advance.

In the event of severe weather (heavy rain, lightning, gale-force winds), VanSkyStudio reserves the right to reschedule at no extra charge to the Client.

Light rain or overcast skies are not grounds for automatic rescheduling; we carry weather protection and many of our most atmospheric images are made in imperfect light.

Rescheduling due to weather does not count against the Client's complimentary reschedule allowance.

6. Travel Fees

Sessions within Taormina town centre (within 5 km of Via Teatro Greco 5): no travel fee.

Sessions within 30 km of Taormina: €0.00 additional travel fee (included in session fee).

Sessions between 30 km and 100 km from Taormina: €0.35 per km beyond the 30 km threshold.

Sessions beyond 100 km or requiring overnight stays: travel, accommodation, and subsistence costs are quoted and agreed in advance.

International travel (outside Sicily): flights, accommodation, and daily subsistence rate of €120 per day apply. A detailed travel quote will be provided.

7. Deliverables and Turnaround Times

Wedding photography: 400–600 edited, high-resolution images delivered within 4–6 weeks of the wedding date.

Editorial and commercial sessions: 30–80 images (or as specified) delivered within 2–4 weeks.

Portrait sessions (individual, couple, family): 25–60 images delivered within 2–3 weeks.

All images are delivered via a private online gallery with download access. A USB drive delivery option is available at €45 additional cost.

Rush delivery (within 7 days) is available for portrait sessions at a 50% surcharge. Rush delivery for weddings is not available.

8. What to Expect on the Day

Please arrive at the agreed meeting point on time. A 15-minute grace period applies; delays beyond 15 minutes reduce the session duration proportionally.

Wardrobe, styling, and makeup are the Client's responsibility unless a styling add-on has been booked.

VanSkyStudio will direct the session professionally. We may suggest poses, locations, and lighting setups; however, Client comfort and safety are always our priority.

We ask that no other photographer or videographer captures behind-the-scenes or parallel content during the session without prior written agreement, as this can distract subjects and affect image quality.
